1. Operations Assistant receives and assigns each job to a specific engineer without exception.
2. All assigned jobs must be written up on the board stating the name of the engineer it is assigned to and the approximate completion date with the necessary job card given to it. When jobs are re-assigned to another engineer for any reason, this should be reflected on the board. Should the completion date change this should also be reflected on the planning board.
3. All changes should be communicated to the front desk for agreement and action.
4. Any communications with clients should be relayed to the front desk and made note of in Time and Chaos. If a client is requesting an appointment, they should be referred to the front Desk for booking/scheduling.
5. On the rare occasion that all engineers are unwilling to accept a job, Peter must take ultimate responsibility for assigning the job to the engineer/engineers best suited to dealing with that particular job.
6. No job must be left incomplete and/or unassigned.
7. Before any work can begin, ensure that the front page of the job card is signed and the client is clearly aware of the charges (especially onsite jobs), therefore engineers should familiarize themselves with the CFU rates.
8. On completion of the job, ensure the back of the job card is signed and the client is informed about the hours spent on the job (especially onsite jobs).
9. When a job is completed in the workshop, the engineer/engineers should ensure that all the parts/accessories are all together on the out shelf.
10. Engineers who are assigned jobs that need to be referred to another engineer for completion must ensure the job has been noted to the front desk first and then is taken up by another engineer.
11. The initial responsibility for scheduling job lies with front desk and not with the engineers
12. It is as much a responsibility of the engineers to keep front desk updated with the progress of their jobs, as it is with the front desk to nag engineers for the progress of the jobs
13. Responsibility for initial assignment of jobs and nagging is that of front desk so accept it gracefully.
14. Completions of jobs, by dates, time, etc. are the responsibility of each and every engineer.
15. Please note: Lack of accountability, avoiding the problem, squirming or any other avoidance strategies are completely unacceptable.
